What if passport lost in transiit ?

Default What if passport lost in transiit ?

I have recently taken a group of my students on a trip from the UK to
Romania. One of my students lost his passport at Amsterdam Schippol
Airport, but this was quickly found again and we were not delayed.

I will be taking another group again in the summer. I was wondering what
is the procedure if any documents such as passport or tickets are
permanently lost in transit ? Do you have to go to the nearest UK
embassy for a newpassport ? Can the airline replace a lost ticket ?

As we are travelling as a large group any delay could be a very big problem.

You contact the local consulate. Embassies are not for the plebs.

If you lose a KLM ticket, KLM will make you buy another. If you find it later,
it will take getting on for a year and many phone calls to get a refund.

Thanks Martin.

Typically, can a consulate sort this out fairly quickly - are we talking
hours or days ? Can it be sorted over the phone ?

I don't know. The Dutch will let you escape back to UK if you can show proof of
identity, such as a driving licence.

The staff are nice and have always been very helpful, when we have renewed
passports there.

Got to put in a good word for KLM here (they say a change is as good as
a rest) - I lost the e-mails with my e-ticket details (duuhhh). I
e-mailed KLM on Friday morning, and they sent me copies that evening.

I was shocked!!

Imposhible!!
It was a school girl with a lost old fashioned return ticket that KLM made such
a fuss about at Schiphol. We never understood why with the booking in their
computer, presentation of a passport to prove identity wasn't sufficient.

Contact your local consulate, they are usually located near the
embassy. Also depending on the size of the country(yours and one you
are visiting) they may have offices in other places in the country.
You can also try calling them or checking the web site of your country
if you are not near the office, most will probably allow you to mail
the info. Most require that you have proof of who you are along with
a few extra passport photos and filled out copies of the forms, pre-
web this was really ugly and the only time I ever experienced it. It
should take less then a week to get an emergency passport. While not
required everyone recommends that you have copies of your passport
photo page just because it makes it a little quicker to get a
emergency one, and stored away from your passport. Needless it is not
fun, when I experienced I was in a group and luckily we were in the
capital and on a weekday so the embassy was open, the people who had
their stolen lost the whole day.

Not really, in the Netherlands the British Consulate is in Amsterdam the Embassy
is in Den Haag.

You get replacement British passports from the consulate, not the Embassy.

As you understand form the other postings, the correct question is
rather how to make sure my students does not loose their passports and
airticket than how to replace them.

As indicated by others, you will be able to escape back to your
homecountry without passport, but for most practitical purtposes the
journey will be over for the ones that looses their passport.

One strategy is to store passports and tickets for all the students,
deliver them out as needed and recollect them. Another is to make very
clear that if their loose their passport and ticket their journey will
be over. A third, can very well be combined with the 2nd) is to give
them all some travel equipment for save passport and ticket storage
and instruct them how to make a shore as possible not to loose them

Take the passports from all of them and give them a photocopied page of
theirs.
In the unlikely event you lose or mislay all the passports you still have
something.
If it can go wrong, it will go wrong (from bitter experience).

Before doing a big trip, scan the first page, and email to yourself.
That way if you lose it, you have a leg to stand on.

You'll be legless if you have a British passport and do that. You need to scan
the page with the photograph.

I followed a suggestion I received here. I scanned the main
page (the one with the photo and details) then used an image
editor to reduce it to credit card/business card size. Then
I printed it on glossy photo paper using the highest quality
I could achieve on my printer.

I laminated the resulting card and used it as a passport
alternative and as an ID card whenever needed as I
travelled, while I kept the real passport in a secure place.
For the OP. Doing something similar for your students may be
a good idea, while you retain all of their passports and
take responsibility for their provision to immigration and
other places when needed.

Similarly, in your situation, I would hold all their
tickets.

Your problem then would be the additional responsibility for
security of those items.

Thanks everyone for all the helpful advice.

The "lost passport" incident happened in spite of a very clear warning
to students before they left home to secure all documents in a safe
place at all times. I have been involved in many similar school trips.
Passports and tickets are always collected from them whenever possible
in transit. Unfortunately our plane into Schippol was delayed and we had
to rush for the connecting flight so there was not time to collect them.
It's hard to plan for the unexpected !

I like the idea about the laminated passport copy - would airlines
accept this as proof of ID when checking in and boarding ? I presume
immigration control would not.
