Default Process for registering the loss of olive trees

Morning,
We have been told that we should register the loss of our olive trees and various fruit trees. The olives are shown in the deeds. Does anyone know if this is correct how this is done?

We had to report our outside fire damage/losses to our local Junta on 3 separate occasions who then sent someone to look at the damage.
